Real Estate Brokers - 5 Ideas for holding Job Progress Reviews for your Administrators

The normal Real Estate Office in America does not always behave like a Structured Business – a place where tasks are clearly delineated, brokers understand their managerial roles, administrators and staff with clearly defined job descriptions, and clear standards for hiring and firing Agents.

 

In fact ‘Employees’ Job Progress Reviews’ are non-existent.

 

This attitude is understandable since Owners/Brokers do not view their Real Estate Agents as employees; they are a kind of independent Commission Only Sales Associates who in essence run their own businesses and only get paid is they close a deal.

 

But How about our Administrators, Office Managers, and Receptionists?

 

They are employees and should and would benefit from Job Reviews if the Owners and Brokers understood the five Reasons such meetings are held.

 

1. To establish the Goals, Objectives, and Clarity of the Position the Administrator is responsible for; and continually refining it.

 

2. To establish Quarterly Long-Term Projects and manage Events and Business Calendars for the whole Office.

 

3. To eliminate the need to react to breakdowns by having a plan and awareness of potential pitfalls.

 

4. To reveal technical weaknesses is the Administrators and office members, then offer appropriate training for the long term success of all.

 

5. To head-off complacency that emerges for the day-to-day running of the business, and refocus the Broker on the Big Picture – which is: Helping the Real Estate Agents in the office Succeed.

 


 

Some ask how often should Progress Review Meetings take place? – depending on the size of your office a biweekly (every 2 weeks) seems to work well, but at least once a month with Meeting Minutes written down clearly to be addressed at the next meeting so progress can be measured.

 

Each Job Progress Meeting should be clearly marked in the calendar and should not be whimsically cancelled by the Broker. This is probably the biggest culprit in the breakdown of such meetings – the broker, who many times is also a Sales Agent, is at the mercy of the winds of their clients; and because the administrators work for them they think cancelling such a meeting is ok.

 

It is Not! It shows a lack of respect to the professionalism of your staff and will have lasting negative consequences.

 

Running an office starts with Good Business Decorum!

 

Each Meeting should end with a Short List Action Plan that is accepted and clear to all. Make sure the action plan is measurable and achievable during the period agreed upon.

 

Final Thoughts: Job Progress Meetings are not designed to fix whatever is wrong with your employees; they are meant to refocus the Managers and Brokers and the Big Picture of the Business, and align the vision of a core group of people towards Team Success.

For Real Estate Sellers it is being able to understand their Motivation to Sell, Design a Pricing Strategy, and working a Deliberate Marketing Plan for all the Steps and entities involved to secure a closed Transaction for the Highest Price the market bears, within a short period of time…

 

You will be able to measure said Real Estate Authenticity with these defining Results:

Did you ask and then get a Video Testimonial?

Did you ask and then get referral business from your customer’s Sphere of influence?

Did your Customers use their Social Media and talk about you?

Bottom Line: Did “1” Transaction lead to another organically?

What is your Value Proposition in Real Estate? In Other words: Why should I hire you to represent me in a Real Estate Transaction?

Demystifying Real Estate Internet Marketing and SEO Terms

On the 15th of November 2014 I embarked on a new project called "The Important SEO Terms Real Estate Agents Must Know to Enhance their Internet Marketing." In this project I am going to build a Glossary Library of the most common terms Real Estate Agents and Brokers encounter when performing the Internet Marketing Strategy.

 

The spirit of this Glossary is to demystify a lot of the terms that are bandied about by Website Vendors for the purpose of confusing agents into buying more and more tools, rather than learn the real fundamentals of SEM, Search Engine Marketing and SEO, Search Engine Optimization.

 

I will offer these definitions both in text form as well as in graphic visual form. You will also find a carousel at the bottom of the Web Page SEO Learning that will have all the terms in visual form.

 

Here is an example of a Text Definition:

 

PPC or Pay-per-Click:   The Advertising System that Real Estate Brokers and/or Agents employ to place ads in Search Results of Google, Bing, or Yahoo that only trigger a cost once a visitor clicks on the Ad. The Real Estate Company who places the Ads will have a daily budget of say $15, targets some specific Keywords, and bids for the clicks say $1.50 and after 10 clicks the Ad will not appear in the search for that day. Google Adwords is an example of such a venue. #keyseo

Key took the topics of Internet Marketing focusing on the Psychology of Search, How Web Crawlers work, and the importance of an Internet Marketing Bio that is properly Written, Linked, and disbursed.

 

Week 5 of the program starts Monday July 1st with sessions 9, 10, and 11, and for 3 days Kevin and I will push our Agents towards prospecting both on the Internet and in person; Kevin will start with Expired Listings and how to work them strategically, then onto Building a Referral Business Program, and how to effectively convert Leads. Key will share the ingredients of a Proper Web Container, commonly called websites, and the 12 MUST Ingredients and tools they must have for High Visibility and SEO.

 

During week 3 of the trainings Kevin and I released 10 news How-To Videos for additional learning and helping the agents absorb strategic ideas at their own pace; this combination of Live Training and How-To Videos is working very well for the agents who apply their new Real Estate Learning properly to generate more listings and more business.

Who within you is running your Real Estate Business

Michael Gerber shares in his book, The E-Myth Revisited, that each Business person who goes on to open a Business is made up of three (3) personas: The Entrepreneur, The Manager, and The Technician.

 

Most of you already understand the Entrepreneur and the Manager; The Technician is the trade that you have; for example you are a Baker who decides to open a Bakery – the technician in you knows everything about being a baker and has years of experience in it. The equivalent in Real Estate is an agent who goes on to open a Real Estate Brokerage.

 

Michael shares this nugget of truth: Every person who goes into business for themselves is actually three-people-in-one: The Entrepreneur, The Manager, and the Technician. The Problem of running the business becomes compounded when each personality wants to be the boss – but none of them wants to have a boss! Ponder that thought.

The Skills of your Trade are not the same as the Skills of Running a Business

The skills of a particular trade help you develop the technician within; if you spend 3 years at a technical school learning the trade of becoming an Electrician, then you hope to get a job working for a business that offers those skills – that schooling does not prepare you to run a business that offers electric repairs and installation.

 

Entrepreneurs start facing challenges when they confuse their Technical Skill with the Running of a Business that offers those Technical Skills. Being a good Real Estate Agent with the skills of helping Buyers and Sellers does not automatically graduate one to running a Real Estate Brokerage. You must bring a Business Mindset to your Business and expand your skills past your trade technical skills.

 

Michael Gerber, in his book the E-Myth Revisited, calls this confusion a Fatal Assumption; and he writes it this way: ‘The Fatal Assumption that many Small Business Owners commit is: if you understand the technical work of a business, you understand a business that does that technical work.’

Your Real Estate Business is a Reflection of Who you are

Michael Gerber harshly and correctly makes this statement in his book The E-Myth Revisited: ‘Your Business is nothing more than a distinct reflection of who you are. If your thinking is sloppy, your business will be sloppy. If you are disorganized, your business will be disorganized. If you are greedy, your employees will be greedy, giving you less and less of themselves and always asking for more.’

 

As Kevin and I move through the Real Estate Training Program i-FAStTRAC, we are cognizant that many of our agents are willing to work hard, but they work hard sometimes on the wrong activities; which leads them to be discouraged and abandon a career they love.

 

Kevin will nudge agents towards Prospecting by focusing on Target Marketing and Farming, and I will illuminate how Web Crawlers work – for example: Did you know that when you are searching the internet you are not Searching the internet? Overcoming Challenges is helped when you know what to do

You simply need to know what to do.”

 

Kevin will start part I of of Prioritized Proactive Prospecting with the Power of the Open House in Prospecting, and I will open our Agents’ minds to the Psychology of Search Engines and the proper thinking required to become a successful Internet Marketer with proper Search Engine Optimization Results.

 

The value of traditional Marketing is no longer as powerful as when it is intertwined with Inbound Marketing, and Search plays a big role – in essence our new breed of Real Estate Professionals must learn to get to Search Engines before they can build the proper bridge of working with their Real Estate Buyers and Sellers.

You have to decide that Persistence is a Quality you will seek in order to go the Distance

As you unpeel the layers of successful entrepreneurs you will find many qualities, but there is one that lurks deep in the spirit of those who go the distance: Persistence.

 

Education, Contacts, and Business Savvy are important qualities but it is what you do to stay motivated when everything around you is not working the way you planned. You will know that Persistence is part of your character when you find yourself hammering away at your dream long after you have convinced yourself that you need to quit, and are surrounded by other who say they understand if you did give up.

 

You have to make a decision that you will be a persistent person; it is ok if it takes you 3 tries to get something done – convince yourself that you will get it done. Here are others words to illuminate Persistence: Doggedness, Perseverance, Tenacity, Determination, Stamina, Steadfastness, and my favorite Grit.

Sam Walton, the founder of Wal-Mart, was quoted saying: ‘the most important thing for an entrepreneur is knowing where you want to go and being willing to do what it takes to get there.’
